User Types
Standard User
Standard users can be setup with full access, no access, or limited access:
Full Access: Can access and edit the books. No admin privilages to change users, change passwords, move money, change subscriptions unless given permission by an admin user.
No Access: No access to accounting features. They can still submit their own time sheets
Limited Access: Can limit access to either Customer functions or Vendor functions
Company Admin
They can see and do everything in the account
The only thing they cannot do is change the primary admin
Time tracking only (This will only show if there isn't a QB Time Subscription)
Allows the user to enter in their hours worked
Number of Users
There is a limit to the number of users you can add based on the subscription level:
Simple Start
1 User
2 Accountant Users
Essentials
3 Users
2 Accountant Users
Unlimited Time Tracking Users
Plus
5 Users
2 Accountant Users
Unlimited Time Tracking Users
Unlimited Reports Only Users
Advanced
25 Users
3 Accountant Users
Unlimted Time Tracking Users
Unlimited Reports Only Users
The user will receive an email invitation. They will want to accept the invitation. If they already have an Intuit login, then they will be prompted to login. If this is their first Intuit account, then they will be asked to create a password.
ProTip: While it is nice to give others full access to the account, so they don't need to ask you to do certain tasks, use the admin user carefully.
ProTip2: QBO Advanced add an additional level of customization of access for users. You can set up a user to only work with invoicing or another for creating and paying bills.
